Refund & Cancellation Policy
Transparent terms for subscriptions, refunds, and billing. Last updated: March 2026.
FleetHisab ("we", "our", "us") is a fleet management and compliance platform operated by Bhavna Infotech, based in Gujarat, India. This Refund & Cancellation Policy explains the terms and conditions for subscription cancellations, refunds, and billing-related matters for our mobile application ("FleetHisab App"), website (fleethisab.in), dashboard (app.fleethisab.in), and related services (collectively, the "Services").
By purchasing a subscription or using our paid Services, you agree to this Refund & Cancellation Policy.
1. Free Trial
- All new users receive a free trial period upon signing up.
- During the free trial, you have access to all features with no payment required.
- No credit card or payment information is required to start a free trial.
- At the end of the free trial, your account will automatically switch to a limited/read-only mode unless you choose to upgrade to a paid plan.
- You will not be charged automatically at the end of the free trial.
2. Subscription Plans & Billing
2.1 Billing Cycles
We offer the following billing cycles for our subscription plans:
- Monthly: Billed once every month from the date of subscription.
- Quarterly: Billed once every three (3) months from the date of subscription.
- Yearly: Billed once every twelve (12) months from the date of subscription.
2.2 Payment Methods
We accept payments through the following methods via our payment gateway partner (Razorpay):
- UPI (Google Pay, PhonePe, Paytm, etc.)
- Debit Card / Credit Card
- Net Banking
2.3 Payment Confirmation
Upon successful payment, you will receive a confirmation via email and/or in-app notification. Your subscription will be activated immediately after successful payment verification.
3. Cancellation Policy
3.1 How to Cancel
You may cancel your subscription at any time through:
- The FleetHisab Dashboard at app.fleethisab.in/billing
- The FleetHisab App under Settings → Subscription
- By contacting our support team at support@fleethisab.in
3.2 Effect of Cancellation
- Upon cancellation, your subscription will remain active until the end of the current billing period.
- You will continue to have full access to all features until your subscription expires.
- After expiry, your account will switch to read-only mode. You can view your data but cannot create new entries or scan receipts.
- Your data will be retained for a minimum of 90 days after cancellation, allowing you to reactivate at any time.
- You may export all your data (trucks, receipts, compliance records, trips) at any time, even after cancellation.
3.3 No Partial Refunds on Cancellation
If you cancel your subscription mid-cycle, no partial refund will be issued for the remaining unused days of your billing period. You will continue to enjoy the service until the end of the paid period.
4. Refund Policy
4.1 Eligibility for Refund
Refunds may be issued under the following circumstances:
- Duplicate Payment: If you are charged twice for the same subscription period due to a technical error.
- Service Unavailability: If our Services experience prolonged downtime (more than 72 consecutive hours) during your active subscription period, and we are unable to resolve the issue.
- Incorrect Plan Charge: If you are charged for a plan different from the one you selected.
- Payment Processing Error: If a payment is debited from your account but the subscription is not activated.
4.2 Refund Request Process
To request a refund:
- Email us at support@fleethisab.in with the subject line "Refund Request".
- Include the following information:
- Your registered phone number or email address
- Transaction ID or payment reference number
- Date of payment
- Reason for the refund request
- Supporting documentation (screenshot of duplicate charge, etc.), if applicable
- Our support team will review your request within 3-5 business days.
4.3 Refund Timeline
- Approved refunds will be processed within 7-10 business days from the date of approval.
- Refunds will be credited to the original payment method used for the transaction.
- Bank processing times may vary; please allow an additional 5-7 business days for the refund to reflect in your account.
4.4 Non-Refundable Scenarios
Refunds will not be provided in the following cases:
- Change of mind after purchasing a subscription.
- Failure to use the Services during your active subscription period.
- Cancellation of subscription mid-cycle (see Section 3.3).
- Violation of our Terms of Service leading to account suspension.
- Downgrade from a higher plan to a lower plan mid-cycle (prorated credit will be applied to the next billing cycle instead).
5. Plan Upgrades & Downgrades
5.1 Upgrades
- When you upgrade to a higher plan, the upgrade takes effect immediately.
- You will be charged the prorated difference between your current plan and the new plan for the remaining billing period.
- Any unused credit from your current plan will be applied as a discount on the upgrade.
5.2 Downgrades
- When you downgrade to a lower plan, the change takes effect at the start of your next billing cycle.
- You will continue to enjoy the higher plan's features until the current billing period ends.
- No refund is issued for the price difference during the current billing cycle.
6. Promotional Offers & Coupons
- Subscriptions purchased using promotional offers, discount coupons, or special pricing are non-refundable unless otherwise stated in the specific offer terms.
- Coupon discounts are applied at the time of purchase and cannot be redeemed retroactively.
7. Account Deletion
- If you choose to delete your account, all your data (trucks, receipts, compliance records, drivers, trips) will be permanently deleted.
- Account deletion is irreversible. Please export your data before requesting deletion.
- No refund will be issued upon account deletion if you have an active subscription.

8. Disputes
If you believe a charge is incorrect or have any billing dispute, please contact us at support@fleethisab.in within 30 days of the charge date. We will work with you to resolve the issue promptly.
9. Changes to This Policy
We may update this Refund & Cancellation Policy from time to time. Changes will be posted on this page with an updated "Last Updated" date. Continued use of the Services after changes constitutes acceptance of the revised policy.
